What is “personal information”?

    3. Career guidance or management;
    4. Actual or potential work placements;

    6. To assist us (if we are engaged to) manage and resolve of complaints about your performance;
    7. Notification of potential work opportunities, relevant candidates, training, information sessions, or
      direct marketing by Co. Recruit and its related companies through mail, email, or SMS;
    8. Verification of work rights status, criminal history, and other background checks as permitted or
      required by law; and
    9. Research, development, business system and or infrastructure testing, and other business purposes to
      improve our services.

  1. If you choose not to provide the requested information, it may limit our ability to find suitable work
    placements or place you in work.

Disclosure of your information

  1. We may disclose your personal information (including to trusted third parties) for the purposes for which it is primarily held, or for related secondary purposes. In some cases, disclosure may require your consent. Your personal and sensitive information may be disclosed to:
    1. Trusted Third-parties including:-
      1. outsourced IT providers, including cloud-based storage providers and document storage providers with
        appropriate processing agreements or similar protections, some of which may be based outside of
        Australia;
      2. Third parties involved in our clients’ recruitment, administration, screening, and selection
        processes;
      3. Third parties assisting in developing services and processes to optimize recruitment services;
      4. Third-party contractors, service providers, job boards, job platforms, job aggregators, software providers, and cloud-based databases to enhance our service provision, some of which may be based outside Australia and New Zealand;
  2. Referees, potential and actual employers and clients of Co. Recruit;
  3. Our employees, our insurers, and workers compensation bodies;
  4. External providers assisting in our services, such as online induction and training providers, background
    checking agencies, etc.
  5. Marketing technology platforms and suppliers assisting in marketing communications and customer feedback surveys, some of which may be based in outside of Australia;
  6. Internal and external auditors of Co. Recruit or our clients, as required to comply with contractual or regulatory obligations;
  7. Professional associations or registration bodies with a legitimate interest in your personal and sensitive information;
  8. Individuals with lawful entitlement to access the information; and
  9. In the event of a merger, acquisition, or meaningful discussions about such possibilities, we may share your personal data with (prospective) new owners of the business or company.

International disclosures

  1. We take reasonable steps to ensure compliance with the APP or IPP when making any disclosure to any entity outside of Australia.
  2. As part of that we adopt appropriate procedures, including contractual agreements, to ensure that your personal information is treated consistently and respects the privacy laws of Australia (from time to time) and our privacy policy (from time to time).
  3. Otherwise, we store your information on controlled servers.
  4. We have measures in place to ensure that the third parties we share your personal information with handle it in a manner consistent with the privacy laws of Australia and only use it for the purpose of providing services to Co. Recruit.

That entails collecting and storing your details on our server along with information we gather or generate through our interactions with you, referees the details of whom you provide to us, surveys that we conduct or caused to be conducted, and any other data that we collect and retain in accordance with this policy.

Suppliers

  1. We collect information from our suppliers, primarily so that we comply with our legal requirements in terms of privacy.

Storage and protection of personal and sensitive information

  1. We employ secure computer storage facilities and paper-based records to protect personal and sensitive information from misuse, unauthorised access, and loss.
  2. When information is no longer needed, we securely destroy or de-identify it.

Updating currency of the information we hold

  1. To ensure the accuracy, relevance, and completeness of personal information, were possible or necessary we update customer, client, and supplier information through telephone communication and or email and through registration links.

  1. We may collect certain information when you apply for a job through us; that includes your name, address, date of birth, email address, your phone number and that of your emergency contacts.
  2. Depending the particular job that you are applying for we may also collect additional details, including your job preferences, workplace or market concerns, and other information including:-
    1. Information about your current position, current salary (including superannuation), and expected salary (including superannuation);
    2. Your Availability or Notice period at your current employer;
    3. Pre-existing travel plans;
    4. Any relevant qualifications (including driver’s license or other relevant licenses) or medical conditions or workplace injuries or claims;
    5. Your citizenship status, police or criminal record, and whether you are listed on the National Insolvency Register; and or
    6. Motor vehicle registration if that is required for the role.

Access to and correction of person information

  1. You have the right to access and correct your personal information, subject to certain exceptions.
  2. Namely, Australian Privacy Principle 12 permits you to obtain access to the personal information we hold about you in certain circumstances, and Australian Privacy Principle 13 allows you to correct inaccurate personal information subject to certain exceptions.
